Reporting to the Director of Facilities, the Operations Manager will be responsible for assisting in the managing of the day-to-day operations of the Facilities Department, including managing maintenance staff as well as the office manager, processing job orders, scheduling staffing needs and ancillary support services, and technical set-ups. This position will also be responsible for overseeing the information technology (IT) function as well.

Responsibilities

Facilities
  • Manage maintenance staff and the office manager
  • Schedule maintenance staff to accomplish all work-orders in a timely, organized manner
  • Technical set up for all conferences, board meetings, promotional points in front of house
  • Technical support for the Box Office
  • Scheduling labor contractors and assign to shift/job leader
  • Overseeing facilities inventory such furniture, equipment, etc. This includes coordinating the physical set-up of equipment based on building-wide work orders
  • Preparing project-specific budgets for the maintenance department as they relate to specific programming needs
  • Assist in Drill Hall operations, including preparing the building for all artistic openings in conjunction with the Armory’s production team
  • Assist with managing peripheral contracts: copy machines, breakroom equipment, cleaning equipment, A/C units
  • Audio/Visual support for media (projections, video screens) for events and programs as needed
  • Phone system management
  • Work with the Director of Facilities and Managing Director to propose efficiencies in staff and consultant time management
Information Technology
  • Oversee procurement of hardware, installation, and setup of new users
  • Establish support procedures, support technology issues and triage high priority issues
  • Review, manage, and negotiate with existing and new hardware, software, and equipment vendors
  • Explore and install new technologies, systems, and services
  • Keep current with the latest technologies and best practices with regards to IT support and operations
  • Manage backup files
  • Configure computer hardware operating systems and applications
  • Troubleshoot system and network problems and diagnosing and solving hardware or software issues, replacing parts as required
  • Perform regular security monitoring to identify any possible intrusions
  • Repair and recover from hardware or software failures
  • Network maintenance
  • Manage outsourced IT consultants, including consulting them on more complex networking issues

Requirements and Skills

  • Bachelor’s degree, preferably in a technical field
  • 7+ years of operations management experience, preferably in a demanding real estate environment or arts organization.
  • Must have experience managing multiple complex projects involving staff and vendors
  • Must have strong desktop support experience, including configuring network settings and software applications
  • Strong leadership skills with a demonstrated ability to thrive in environments with multiple stakeholders, frequent change, and diverse objectives
  • Experience recruiting, managing, and developing a strong team of staff, program/project managers, and administrative professionals
  • Excellent communication, analytical and interpersonal skills
  • Ability to handle a variety of constituencies, manage multiple tasks simultaneously and thrive in a complex, fast-paced environment with multiple priorities

Compensation

Salary range is commensurate with experience.
